Vowed and Clear – Privacy Policy
Effective Date: August 5, 2025
Introduction
Vowed and Clear (“we”, “us”, or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our website (vowedandclear.com) and services. By using our service, you agree to the collection and use of information as outlined in this Policy, and you also agree to our Terms of Service.
Information We Collect
We only collect the minimum personal information necessary to provide our online wedding services in a safe and efficient way. This may include:
Contact Information: Your name and email address, which we use to register your wedding and communicate with you. We may also ask for a phone number to help with scheduling or support.
Wedding Details: Information related to your ceremony scheduling (such as preferred date/time) and participants (e.g., names of you, your partner, and witnesses). This ensures we can coordinate with an officiant and schedule your Zoom ceremony appropriately.
Ceremony Recording: With your consent, we may record your virtual wedding ceremony so we can provide you a copy of the recording. This recording will include video and audio of you and other participants. It is treated as sensitive personal data and is only used for providing it to you as part of our service.
Usage Data: Like most websites, we receive technical data when you visit our site. This includes your IP address, browser type, device information, and browsing actions (e.g., pages visited, time spent). We use cookies or similar technologies to remember your preferences and ensure the website functions properly. You can adjust your browser settings to refuse cookies, but some parts of our service may not work properly without them.
We do not collect sensitive personal information like government ID numbers or documents through our site beyond what is needed to fill out your marriage license application. Any government-issued ID required for the license is provided directly to the issuing authority. We also do not collect or store any payment card details – see “Third-Party Services” below.
How We Use Your Information
We use the collected information strictly to:
Provide Our Services: Schedule your ceremony, connect you with a virtual officiant, and support license processing and documentation.
Communicate with You: Send confirmations, Zoom links, reminders, video recordings, and support responses.
Improve the Service: Usage data helps us improve our website experience and troubleshoot issues.
Legal and Security Purposes: Retain records where legally required and protect our systems against fraud or misuse.
Note: We do not sell your personal data to third parties for marketing or any other purpose.
Third-Party Services and Sharing
To deliver our service, we rely on the following trusted providers:
Stripe (Payments): We never see or store your payment info. It’s sent securely to Stripe, which is PCI-DSS compliant.
Zoom (Video): Ceremonies are hosted via Zoom. Zoom may collect limited participant data. Recordings only occur with your consent.
Calendly (Scheduling): Collects basic scheduling info (name, email, time slot) to coordinate your ceremony.
Cloudflare (Website Security): Protects our site from malicious traffic and helps improve performance.
Independent Officiants: Contracted officiants receive only the necessary info to perform your ceremony and submit your license. They are obligated to maintain confidentiality.
We do not share your data unless needed to provide the service or if legally required. If you click third-party links on our site, you’re subject to their policies.
Data Retention and Security
We retain your data only as long as necessary to deliver services and comply with laws. For example:
- Contact and transaction data: Until your wedding is complete.
- Ceremony recordings: Typically stored for a few months for download, then deleted.
- Marriage records: Kept as required by state law.
We use industry-standard security measures, including HTTPS, encryption, and Cloudflare. Still, no system is 100% secure. We’ll notify you if any data breach occurs affecting your personal info.
Children’s Privacy
Our services are not for users under 18. We do not knowingly collect data from minors. If we discover we’ve collected such data, we’ll promptly delete it. Parents or guardians may contact us to investigate and remove any unauthorized use.
Your Rights and Choices
We honor data privacy rights under U.S. laws (e.g., California CCPA). You may:
- Opt-Out of Marketing: Currently, we do not send promotional emails.
- Access or Correct Info: Contact us to view or update your data.
- Request Deletion: You may request deletion of your personal info, subject to legal and operational limitations.
To exercise your rights, email us (see “Contact Us” below). We’ll respond as quickly as possible.
Changes to This Privacy Policy
We may update this policy from time to time. If significant changes are made, we’ll notify you via the website or by email. Continued use of the site means you accept the updated policy.
